    Job Description

    POSITION SUMMARY

    The City of Fort Lauderdale employees possess a passion for public service demonstrated by a high degree of enthusiasm, self-reliance, and job proficiency.     We are looking for a Police Records & Teletype Supervisor, who will oversee the daily operations of the Records Unit and teletype functions within the Fort Lauderdale Police Department. This role ensures compliance with local, state, and federal laws regarding criminal records, manages a team of records clerks and teletype operators, and maintains secure and accurate recordkeeping and data communications. The supervisor serves as a liaison between departmental staff, other law enforcement agencies, and the public regarding information access and dissemination.

    This is responsible supervisory work of more than average difficulty in coordinating the activities of the Police Records and Teletype units.

    An employee in this class supervises the receipt, storage, retrieval and disposition of complex police records in a computerized environment, and personally performs complex duties relating to the receipt, storage and destruction of confidential records. The employee works under general supervision of a managerial employee and must exercise considerable initiative and independent judgment in making work assignments, determining work methods, and in revising or installing new work methods and systems. Employee works under general supervision of a managerial employee, who reviews work in conferences with the employee, by study of reports submitted, by direct observation of work activities and products, and through reports received from other employees and outside individuals and agencies.

    ESSENTIAL JOB FUNCTIONS

    Essential functions are the basic job duties that an employee must be able to perform, with or without reasonable accommodation. The list of essential functions, as outlined herein, is intended to be representative of the tasks performed within this classification. The omission of a function does not preclude management from assigning essential duties not listed herein if such duties relate to the position.
    • Plans, organizes, assigns, directs and reviews the work of a large clerical staff engaged in receiving, entering into computer system, copying, retrieving, and otherwise processing a wide variety of police information, including such documents as offense reports, probable cause affidavits, accident reports, vehicle tow reports, traffic tickets, dispatch records, and related information.
    • Assists subordinates in resolving problems in nonstandard situations, instructs workers in procedures, trains new employees; evaluates subordinates; job performance, conducts evaluation and corrective interviews.
    • Recommends, in the interest of the City, that eligible applicants be hired, and that subordinate employees be reassigned, transferred, disciplined, suspended, terminated, promoted or commended; participates in the adjustment of grievances; participates in the administration of agreements resulting from collective bargaining negotiations.
    • Determines work procedures, prepares and administers work schedules, and expedites workflow. Issues written and oral instructions, maintains time and production records. Assigns and examines work of exactness, neatness and conformance to policies and procedures.
    • Studies and standardizes work procedures, devises new work methods, recommends new procedures, forms and methods to effect savings of time, labor and costs to improve office efficiency. Collects and organizes data, prepares special reports.
    • Expunges, seals and secures arrest records upon receipt of court orders. Collects all data relating to such requests, places in sealed folder, and secures in locked container.
    • Maintains confidential files of ongoing investigative information, keeps in locked containers, and ensures that this information is released only to authorized persons.
    • Responds to subpoenas for official records, obtains copies of records, certifies copies, appears in court and testifies from the records as official custodian of records.
    • Reviews written requests for police records information, determines if information can be released, and oversees the preparation of responses.
    • Prepares retention schedules for records and microfilms of records.
    • Oversee the use of teletype and criminal justice databases (e.g., NCIC, CLETS, CJIS) to transmit and receive sensitive law enforcement data
    • Ensure timely entry and removal of information such as warrants, stolen vehicles, and missing persons (for both FLPD and WMPD).
    • Maintain certification and training compliance for teletype operators.
    • Serve as the Department’s Alternate FAC, Alternate DAVID POC, and Secondary NEXTEST Administrator
    • Oversee and complete evaluations on 11 total Police Teletype Operators (including 2 Senior Teletype Operators)
    • Assign and ensure the completion of monthly validations according to CJIS Standards
    • Participate in FDLE/CFA Audits
    • Train, schedule, and evaluate records and teletype staff.
    • Develop and implement procedures for workflow efficiency and compliance.
    • Conduct audits and ensure proper data security and confidentiality.
    • Coordinate with law enforcement, court personnel, and other agencies.
    • Performs related work as required.


    JOB REQUIREMENTS, PREFERENCES & WORK ENVIRONMENT

    High School Diploma or equivalent Three (3) years increasingly responsible administrative and customer service experience.Additional qualifying experience or completion of coursework at an accredited college or university in a job-related field, may substitute on a year-for-year basis for the required experience or education. Two (2) years of supervisory experienceSuccessfully complete a pre-polygraph interview, polygraph examination, and background investigation.If claiming Veteran's Preference, candidates must attach a DD214 Member 4 form, and the City of Fort Lauderdale's veteran's preference claim form (J-204) to the online application.
    Preferences:
    • Bachelor’s degree
    • Experience working in a law enforcement agency
    • 2 years experience in Records
    • 1 year experience in Teletype
    • NCIC/FCIC certified
    Special Requirements:
    As public servants, employees may be required to work immediately before, during, and/or after an emergency. All employees must be available and able to work assigned shifts as determined by their Department Heads.
