DESCRIPTION

The Animal Care Services Bureau is seeking qualified candidates interested in applying for a part-time Clerk Typist I (Non-Career) position. There is currently one (1) part-time opening that will mainly support the shelter's Medical/Veterinary Division. Scheduled shifts may vary by week and the position will work up to 28 hours per week, including weekends and holidays. Day shifts are typically assigned and occasional evenings are required.

The Department of Parks, Recreation and Marine is a nationally recognized and award-winning organization with 1,100 full-time/part-time staff and a budget of $74 million. The Department oversees facilities and programs that reflect the needs and interests of a culturally diverse community, including: 170 parks with more than 3,200 acres devoted to open space and recreation, 27 community centers, 3 public pools, 6 miles of beaches, and 3 marinas.

In 2019, the City of Long Beach implemented the Compassion Saves model of shelter operations which ensures that all healthy and treatable animals are saved. The mission of the Long Beach Animal Care Services Bureau is to ensure “Compassion Saves” by supporting the people and animals of our community through outreach, education, guidance, and support services. We protect shelter animals by creating an environment of care through enrichment and innovative programs, and by providing public safety and the humane treatment of animals to nearly 600,000 residents in five cities. With a staff of over 50 employees, and an annual operating budget of over $4.8 million, the Bureau will care for more than 4,000 live animals in 2024.

Non-Career employees are allowed a maximum of 1,600 work hours available over a 12-month period, and are considered temporary, at-will employees who are not typically eligible for benefits. However, non-career employees may qualify for health coverage and sick leave accruals subject to applicable federal and state provisions.

EXAMPLES OF DUTIES

  • Maintain workspaces in orderly working condition by filing paperwork, restocking forms and office supplies, and assisting with miscellaneous organizational projects as needed.
  • Maintain patient medical documents (includes lab results, emergency clinic paperwork, radiographs, surgery/anesthesia records, medical records from offsite consultations/procedures, etc.).
  • Scan, upload and/or e-mail documents.
  • Assisting with coordinating student extern program for the medical team, including communicating with RVT student and DVM student externs and Summer Work Experience Program veterinary students; coordinating interviews and livescans, scheduling students, managing the intern calendar.
  • Assist with the scheduling of medical staff and medical contractors.
  • Assist with managing inventory of medical supplies.
  • Assist with coordinating the servicing of medical equipment, including anesthesia machines, x-ray machine, microscope, and other diagnostic equipment.
  • Managing calendars and schedules relating to medical clinic maintenance and Veterinary Medical Board compliance.
  • Assist with setting up new medical purchase orders as needed.
  • Assist the Chief Veterinarian with management and administrative duties, including managing controlled drug logs, maintaining staff licenses and permits, coordinating staff meetings, and compiling protocols and reference materials for medical team and shelter use.
  • Schedule consultations and procedures with offsite veterinary hospitals/specialists.
  • Assist the Chief Veterinarian with scheduling and coordinating veterinary-related professional development opportunities for medical team and shelter staff (onsite training sessions, offsite CE events, etc.).
  • Coordinate logistics and assist with communications between the Chief Veterinarian and shelter staff, the Long Beach Health Department, and Los Angeles County Veterinary Public Health during disease outbreak investigations and other veterinary public health-related events.
  • Drive to offsite meetings and/or trainings.
  • Perform other related duties as required.


REQUIREMENTS TO FILE

MINIMUM REQUIREMENTS:
  • Must possess a valid motor vehicle operator's license.
  • Ability to type neatly and accurately at a net speed of at least 40 words per minute.
  • Ability to file in alphabetical and numerical order and perform detail clerical duties, which includes making simple mathematical computations and correcting errors in grammar, spelling, and punctuation.
  • Ability to work cooperatively with other employees and the public.
  • Able to work weekends, nights, and holidays.
DESIREABLE QUALIFICATIONS:
  • Experience and/or volunteering in an animal shelter or other official animal welfare organization.
  • Proficiency in the use of Microsoft Office Suite (Word, Excel, Outlook).
  • Bilingual skills (Khmer, Spanish, and/or Tagalog).
  • Experience interacting with people from a wide range of ethnic, cultural, and socio-economic backgrounds.
The successful candidate will possess the following:
  • Strong customer service, clerical, and administrative skills.
  • Excellent written, oral, and interpersonal communication skills.
  • Ability to meet deadlines, prioritize a heavy workload, and handle multiple assignments concurrently and efficiently.
  • Ability to work independently and exercise good judgment.
  • Ability to be sensitive to the needs of customers, community groups, and community leaders.
