    Job Summary:

    The Deputy Chief of Staff serves as a key advisor and strategic partner to the Office of the President, supporting high-level institutional priorities and initiatives. This role provides executive-level coordination, project management, and policy oversight to advance the university’s mission. The Deputy Chief of Staff works closely with senior leadership, manages cross-divisional efforts, and ensures the effective flow of information and alignment of campus operations with presidential directives. The ideal candidate is a highly organized, politically astute, and collaborative professional committed to student success and institutional excellence.

    Duties and responsibilities

    Manage staff and student assistants including projecting needed staffing levels, recruitment and hiring, onboarding and training, setting performance expectations, task/project assignments, work product monitoring and feedback, and completion of performance evaluations.

    Manage President’s Office operations including independent decision-making for office policies and procedures. Oversee daily operations, provide direction to others, and actively assist with or carry out key functions of the unit. Evaluate, interpret, and execute policy changes for the President’s Office. Decisions made at this level may have broad implications and may result in the reallocation of institutional resources if errors in judgment occur.

    Provide high-level executive support to the President and Chief of Staff including performing highly sensitive and confidential administrative and executive secretary tasks and project management. Liaise with internal and external stakeholders such as community organization board members, elected representatives, CSU campus presidents, and members of the Chancellor’s Office on behalf of the President and/or Chief of Staff.

    Senior Leadership Support - Provide strategic support to the Cabinet and Administrative Council in the preparation of meetings, events, research, and campus-wide initiatives. Contribute to institutional planning and governance by recommending modifications to campus policies and procedures.

    Follow-Up - Monitor and follow up on customer inquiries, campus events, committee activities, and other operational matters as needed to ensure timely resolution and continuity of service.

    Other Job-Related Duties as assigned

    Minimum Qualifications (required education and experience):

    - Bachelor’s degree from an accredited university in a related field.
    - Minimum of five years of experience in an administrative role, preferably within a higher education or a similar complex organizational environment.
    - Minimum of two years of experience supervising others including performance monitoring, goal definition, development, and performance reviews.

    - Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
    - Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors.
    - Expert level written and verbal communication skills.
    - Demonstrated proactive approaches to problem-solving with strong decision-making capability.
    - Highly resourceful team-player, with the ability to also be extremely effective independently.
    - Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
    - Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment.
    - Forward looking thinker, who actively seeks opportunities and proposes solutions.

    Compensation and Benefits:

    Anticipated Hiring Range: $7,500 - $9,167 per month.

    The salary offered will take into account internal equity and experience among other factors.

    The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 15 paid holidays a year.     Position Information:

    First considerations will be given to candidates who apply by Wednesday, June 11, 2025 and will continue until the position is filled; however, the position may close when an adequate number of qualified applications are received.

    Work status: Full-time/Exempt/At-Will Employment

    Academic year schedule: Monday through Friday (8:00 am - 5:00 pm), some evenings/weekends.

    Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.

    Ability to occasionally work evenings and weekends.

    This is a full-time management (MPP) position. MPP employees serve at the pleasure of the campus President. MPPs do not serve a probationary period and never receive permanent status.

    This position is a "designated position" in the California State University's Conflict of Interest Code. The scope of responsibilities for this position includes making or participating in decisions that may have a material financial benefit to the incumbent. Therefore, the individual holding this position is required to file an initial Conflict of Interest: Statement of Economic Interests ("Form 700") within thirty (30 days) from the date of hire and on an annual basis. In addition, the individual holding this position must complete the required conflict of interest training within thirty (30) days of their appointment and at least once during each consecutive period of two calendar years following the appointment, subject to the Fair Political Practices Commission regulations.

    As of January 1, 2022, the CSU Out-of-State Employment Policy prohibits the hiring of employees to perform CSU-related work outside the state of California.

    California State University, San Bernardino is not a sponsoring agency for staff or management positions (i.e. H1-B Visas).

    Conditions of Employment

    Background Check

    Satisfactory completion of a background check (including a criminal records check) is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.

    Drivers License Check

    Possession of a valid Driver's License is required. Employees in this position will be enrolled in the Department of Motor Vehicles (DMV) Government Employer Pull Notice Program which confirms possession of a valid driver's license and reflects driving record.

    Mandated Reporter

    The person holding this position is considered a `mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.
