    Position Duties

    The Parks, Recreation and Neighborhood Services Department (PRNS) is recruiting for a Division Analyst within the Parks Division.

    The Division Analyst is part of the Parks Administration Team, supporting the Deputy Director and Division Managers. This Analyst position will be dedicated to general analytical support for the entire Parks Division with dedicated responsibilities for the Destinations, Events and Sports unit in Parks which includes, Happy Hollow Park & Zoo, Emma Prusch Farm Park, Lake Cunningham Action Sports Park, Arcadia Ballpark, the Park Ranger Program, Family Camp, City-wide Sports, Placemaking , Special Parks Use and Reservations, as well as Golf Courses, and other Parks Contracts. The Division Analyst will work directly with the PRNS Fiscal Team on budget tracking, analysis and the annual budget development process and with the Human Resources Department on Parks Division recruitments. The position also works closely with operational management on Key Performance Indicator tracking and reporting as well as program recommendations and development. The Analyst may also have other ancillary job duties including division procurements, memo writing and coordination, grant writing and tracking and supervising administrative support staff.

    This position requires an employee with very strong analytical and organizational skills; excellent written and oral communication skills; and exceptional customer service skills with the ability to develop and maintain effective and collaborative working relationships with external and internal customers and colleagues.

    The key responsibilities will include:
    • Coordinating with Human Resources and PRNS Employee Services staff to organize and conduct recruitments
    • Extensive use of citywide and department databases to collect and consolidate data and create reports for management staff
    • Reviewing budget allocations and monitoring associated expenses for Parks Division programs
    • Providing analytical support for annual budget development processes
    • Researching and drafting memos intended for the Parks Division, Department, Commission, City Manager, and City Council
    • Maintain division budgetary and personnel files and information
    • Processing confidential documents related to budgetary and personnel matters
    • Supporting and planning special projects and events such as trainings and division-level meetings.
    • Gathering and analyzing data from various sources to understand business needs and objectives.
    • Working closely with stakeholders to define, document, and prioritize program requirements.
    • Identifying opportunities for improvement and propose solutions to address program challenges.
    • Developing detailed reports, diagrams, and presentations to communicate findings and recommendations to stakeholders.
    • Collaborate with cross-functional teams to implement solutions and ensure alignment with Division goals.


    Minimum Qualifications

    Education and Experience

    Analyst I
    A Bachelor's Degree from an accredited college or university.

    Analyst II
    A Bachelor's Degree from an accredited college or university AND two (2) years of increasingly responsible professional staff analytic or administrative experience conducting studies, organizing and analyzing data, and preparing reports, recommendations, or conclusions for a functional area in budget, finance, grant administration, organizational analysis, general administration, or human resources.

    Acceptable Substitution
    Additional years of experience in a position comparable to the Staff Specialist with the City of San José in areas such as budget, finance, grant administration, organizational analysis, general administration or human resources may be substituted for the education requirement on a year for year basis.
