    Overview

    Assist City customers and all Court users. Resolves customer inquiries by extensively researching every court case thoroughly, analyzing and providing accurate information for customers to resolve their cases. Receives high volume of inbound calls through an automated call distribution system and will return all messages left by customers within 24 hours.

    Responsibilities

    • Responds to a high volume of incoming calls via an automated call distribution system, providing court-related information, directing inquiries to appropriate departments or agencies, and transferring callers to relevant sections for further assistance

    • Utilizes the court's INCODE software to research and respond to customer inquiries, providing accurate, case-related information while ensuring compliance with legal guidelines by refraining from offering legal advice

    • Responds to customer email inquiries regarding violations and case information using INCODE, Microsoft Outlook, Word, and Laserfiche; applies knowledge of court processes to provide accurate information and communicate clearly using proper spelling, grammar, and typing skills

    • Monitors and responds to voicemail messages left by customers opting out of the phone queue, ensuring all messages are returned within 24 hours by placing follow-up calls and providing accurate information to assist in case resolution

    • Updates and maintains customer records in INCODE based on call interactions, ensuring all case files reflect current information such as name, contact details, attorney representation, and entering concise, accurate case notes for each interaction

    • Assists with receiving, opening, and documenting incoming mail, forwarding correspondence to the appropriate court sections, and updating case information and comments in INCODE

    • May also process phone payments, initiate payment plans, and perform additional tasks necessary to support customers in resolving their cases

    • May be asked to perform other duties as assigned.

    Position Type and Typical Hours of Work

    • Non-Exempt - Full-Time

    • Flexibility to work evenings, weekends, and holidays is a schedule requirement

    • In the event of an emergency, employees are required to work to provide for the safety and well-being of the public, including the delivery and restoration of vital services.

    Qualifications

    • High School Diploma / GED

    • Three (3) years of experience

    Licenses and Certifications

    Required

    • A valid driver's license is required; successful out-of-state candidates must be able to obtain a valid Texas driver's license within 90 days of hire

    Required within eighteen (18) Months of Hire

    • TMCEC Municipal Court - Level I Certification

    Employment Testing

    Employment is contingent on passing any post-offer pre-employment screening as listed below:

    • Criminal Background Check: Yes

    • Motor Vehicle Record Check: Yes

    • Drug Screening: Yes

    • Physical Exam: Yes

    Basis of Rating

    A recruitment consultant will evaluate all applications against the posted qualifications and may request additional information. The city may also conduct additional skill assessment tests, in addition to the panel interview.
