    CAREER DESCRIPTION

    OFFICE SUPERVISOR B

    Salary may be negotiable within the range listed based on position requirements and successful candidate’s qualifications, subject to appropriate authorization.

    OPEN TO THE PUBLIC:

    This recruitment is being held to establish an open eligible list to fill current and future Office Supervisor B vacancies within the County of Orange. The current vacancy is within the Probation Department at Juvenile Hall (a facility open 24 hours, 7 days per week) in Orange, CA. The eligible list established may also be used to fill similar and lower-level classifications throughout the County of Orange.

    This recruitment will be open for a minimum of five (5) business days and will remain open until 11:59 pm (PST) on Wednesday, December 24th.

    OC PROBATION

    The County of Orange, Probation Department is dedicated to continuous improvement, searching out and applying effective and research supported practices to assist justice involved Juveniles, their families, and adults to successfully navigate and successfully complete probation. Additionally, the Probation Department assists the criminal court system through investigations, probation reports and community supervision of approximately 10,000 adult and 800 juvenile clients on court-ordered probation or in diversion programs. The Probation Department also operates the Orange County Juvenile Hall, and two camps for youth. Under the direction of the Chief Probation Officer, a dynamic executive team with an organizational structure comprised of four bureaus - Adult Operations, Juvenile Operations, Strategic Development, and Administrative Services - serves the community using efficient and research supported corrections practices to reduce crime, assist the Courts in managing offenders, promoting lawful and productive lifestyles and assisting victims.

    THE OPPORTUNITY
    The Office Supervisor B will be responsible for providing leadership and supervision to clerical support within multiple programs and will train and motivate staff to utilize their skills and abilities to act in support of facilitating and meeting the department's objectives. This position will also be responsible for completing various documentation and internal reports by utilizing Microsoft Programs and other software applications.

    Other duties and responsibilities of the Office Supervisor B:

    •Planning, organizing, and prioritizing the work of the unit
    •Assigning work to staff
    •Verifying timecards bi-weekly of all staff supervised
    •Setting and recommending work performance standards
    •Developing and maintaining desk manuals, policies and procedures, and workflows to ensure compliance with legislative and programmatic requirements related to state and federal grants
    •Evaluating, preparing, and presenting performance evaluations
    •Collaborating with Senior Office Supervisors and other supervisors to keep them apprised of unit's status and updates as needed
    •Collaborating with a variety of stakeholders depending on the assignment
    •Performing other duties as assigned

    DESIRABLE QUALIFICATIONS & CORE COMPETENCIES:
    The ideal candidate will have more than two (2) years of general office experience, possess experience demonstrating leadership and supervisory skills, and have the ability to work in a very busy, fast paced environment. T he Probation Department is seeking a candidate who is able to work overnight (9pm to 7am) as needed in the Juvenile Hall facility, which is open 24 hours/day, 7 days/week.

    In addition, the ideal candidate will also demonstrate the following competencies:

    Professional & Technical Knowledge/Experience

    •Thorough knowledge of general office procedures and equipment
    •Knowledge of basic mathematics including percentages, means, medians, and other elementary statistical measures
    •Leads initiatives and prioritizes tasks to ensure efficiency and exercise time management skills
    •Ensures effectiveness and efficiency in the delivering of services or programs
    •Proficient in MS programs and navigating a variety of software systems to complete assignment
    Leadership/Supervision

    •Generates enthusiasm and motivates others to act in support of program's objectives
    •Leads staff toward meeting the department's objectives by fostering continuous improvement and innovation
    •Delegates work effectively and manages staff workload
    •Provides honest, timely feedback about staff performance
    •Brings accountability to team of staff and leads by example
    Planning and Organization
    •Develops and maintains effective systems to manage multiple projects with multiple timeframes
    •Plans and prioritizes assignments and meets various deadlines

    Problem Solving and Decision Making

    •Knowledge of techniques for gathering, compiling, analyzing and presenting information
    •Ability to analyze problems in context of available information and program constraints
    •Ability to work independently and make decisions that could impact the well-being of others
    •Operates effectively in a demanding environment and uses creativity and innovation in achieving business objectives

    Communicate effectively with supervisors, co-workers, and external customers
    •Prepares and orally presents information to various groups

    RECRUITMENT PROCESS

    Eligible List
    Once the assessment has been completed, HRS will establish an eligible list of candidates. Candidates placed on the eligible list may be referred to a selection interview to be considered for present and future vacancies.

    Based on the Department's needs, the selection procedures above may be modified. Candidates will be notified of any changes in the selection procedures.
